Inventory · 03 · Stocktakes & transfers

Every location, counted and accounted for.

Count a whole store or a handful of products. Move stock between locations and see what is still in transit. Give each person access to the stores they work in, and keep every discrepancy open until someone reviews it.

Shortfall of 4 recorded for review

Illustration with sample data: a transfer received in parts.

The problem

Stock across several stores drifts quietly.

blank = 0

Uncounted becomes zero.

A count sheet with an empty line gets saved as zero. A product nobody counted now shows as sold out.

16 → 12

Transfers lose units on the way.

Sixteen units leave one store and twelve arrive at the other. Without an in-transit record, the missing four disappear from both.

Everyone can change everything.

When every staff member has the same access, a count at one store can overwrite stock at another.

How it works

Counts and transfers people can check.

Work saves as it happens, so a count can pause and pick up again.

  1. 01

    Start a count

Choose a full location or selected products. Several people can count at once with a scanner or by typing, and progress saves as you go.

  2. 02

    Review before adjusting

A manager reviews the variances. Items nobody counted stay uncounted. If stock changed during the count, the line stops for review or a recount.

  3. 03

    Transfer between stores

Create a transfer, ship it and receive it in parts at the other location. Units in transit and any shortfall stay on the transfer.

  4. 04

    Set who does what

Owners and managers approve. Receivers and counters work only at the locations they are assigned to, and the server checks every request.

On the record

What the record keeps.

Each adjustment can be traced back to a count, a person and a review.

  • Counted, uncounted and adjusted lines, kept separate
  • Who counted each line, and when
  • Sales or stock changes during a count, flagged
  • In-transit quantities for every transfer
  • Shortfalls recorded as discrepancies
  • Location restrictions per staff member

Questions

Before you ask.

Can several people count at once?

Yes. Several staff members can work on the same stocktake, and each entry records who made it.

What if we sell items during a count?

Inventory compares stock when counting starts with stock at review. If a line changed in between, it stops for review or a recount and is not overwritten.

Can staff be limited to one store?

Yes. Receivers and counters can be restricted to specific locations. Managers approve adjustments and cost changes.

Does it work offline?

No. Counting and receiving need a connection. Native POS screens and offline stock changes are not part of the first release.
